Profile Tab
The student portal profile tab displays various custom fields and values populated from applications or forms submitted to the system. This tab contains all the information saved during the application process, providing a comprehensive overview of the applicant's details.
Form Submissions Tab
This tab stores the different applications submitted by the applicant. If an applicant has submitted multiple applications, each submission can be viewed individually. The tab displays details from different sections of the application and the status of each submission. Admission staff can also modify the status based on predefined submission statuses configured in the main settings.
Submission History
The submission history tab tracks the applicant's journey from account creation to application submission. Initially, when an applicant registers and submits the login page form, an account is created. As they progress through the application steps and save their progress, the status updates accordingly until the application is submitted and locked, preventing further edits.
Files Tab
This tab allows you to view all documents uploaded by the applicant. If the application process requires specific documents, the applicant can upload them, and they will be accessible here. If additional files are needed and the applicant cannot edit the application, they can send the files directly to the school, which can then add them to the applicant's profile.
Finance Tab
The finance tab displays invoices created as part of the application process. Institutions can create additional invoices for any subsequent payments required. Once an invoice is generated, it can be shared with the applicant, who will receive an email notification. The applicant can then pay the invoice via their dashboard, with the transaction being recorded in the finance tab.
Contracts Tab
Integrated with document processing platforms like Adobe Sign, DocuSign, or PandaDoc, the applicant profile allows for the creation and management of contracts. Templates can be mapped to application fields, and documents requiring signatures can be packaged into envelopes and sent to applicants for electronic signing. This feature streamlines the contract signing process, ensuring all necessary documents are signed and returned efficiently.
Documents Tab
The documents section enables users to upload and map documents to existing fields, such as program or contact details. For example, a letter of acceptance can be generated with the applicant's information and shared with them via their dashboard.
Emails Tab
The email feature allows schools to create and send email templates directly from the applicant profile. You can select a template, customize the email, and send it to the applicant. Email notifications are automatically sent to inform the applicant of any new messages or documents.
Messages Tab
The messaging feature enables direct communication with applicants. Messages can include file attachments, and notifications are sent to the applicant's email, prompting them to log into their dashboard to view and reply to messages. Both schools and applicants can initiate messages.
Impersonation Feature
In cases where an applicant needs assistance with their application, the impersonation feature allows admission staff to access and complete the application on the applicant's behalf. This feature is particularly useful for addressing incomplete applications or providing direct support to applicants.
QuickBooks Integration
If enabled, this integration synchronizes all transactions, invoices, and applicant information with QuickBooks, ensuring accurate financial records and streamlined accounting processes.
